This Terms of Service Supplement for WCONLINE® Subscriptions for Online-Only Institutions governs your acquisition and use of our services.

THIS DOCUMENT IS A SUPPLEMENT TO (AND NOT A REPLACEMENT OF) OUR TERMS OF SERVICE. IT IS DESIGNED TO GOVERN THE USE OF WCONLINE AT ONLINE-ONLY EDUCATIONAL INSTITUTIONS. BY EXECUTING AN ORDER FOR OR CONTINUING WITH WCONLINE SERVICES AT AN ONLINE-ONLY INSTUTION (AFTER RECEIVING NOTICE THAT YOUR INSTITUTION FALLS OUTSIDE OF STANDARD SITE-SPECIFIC WCONLINE LICENSING), YOU AGREE TO THE TERMS OF THIS SUPPLEMENT.

ONLINE INSTITUTIONS: WCONLINE

In specific cases and at Twenty Six Design LLC’s discretion, an institution may be defined as an online institution, in which case an "online institution" license may be applicable. Whether an institution is online or not depends on multiple factors, including but not limited to whether the institution is nationally or internationally recognized as offering online degrees, has no physical academic centers, and has no students attending classes or using facilities such as institutional libraries.

An institution that is fully online, or, in some cases, an institution that offers a substantial online degree program, may work with Twenty Six Design LLC to establish a subscription that accurately reflects online use at locations not allowed under our Terms of Service's "USAGE LIMITATIONS: WCONLINE" section.

DEFINING AN ONLINE INSTITUTION

A subscription to WCONLINE for a physical campus is meant to cover an institution and its single physical location, meaning students and staff within a short enough commute to conveniently use services at any locations. For completely non-online campuses, this means locations or campuses should be within about half an hour of each other, provide bus/driving/parking information for students, and have some reason that students go to different campuses (such as to use a specialty library that is farther away).

For an online institution, the licensing typically works the same way if there is a central "center" or office with a group of staff, and those staff work with a nearby community. Students and staff do not have to be on a physical residential campus, individuals may live farther away but still within the same city, and they might not ever go to a location to meet. Having a central physical location and nearby students keeps licensing fair for campuses that are not online, while allowing us to offer a way for online campuses to use WCONLINE. If an online institution has multiple hubs, where staff are at one of several central offices or within a close radius, the institution would likely use one WCONLINE license to cover each. For example, centers in four towns, where staff and students are located relatively nearby but not necessarily within a short drive, would likely be able to use four physical-campus WCONLINE licenses for $715/year each.

If all staff and students are much more scattered, such as throughout the United States, and there is not a way to group them even loosely at any defined physical locations, that situation would not fit within our physical-campus licensing. Instead, a single institution may be defined as online (or offering a substantial online degree program) by fulfilling the following characteristics:

  • The institution is recognized outside of academia as an online institution--students attend all online classes and get degrees from the online institution. (Students do not receive degrees from a non-online institution that simply offers online classes. Where a complete online program is offered by an institution that also offers one or more non-online programs, students must receive recognition for competing the online program. Such an institution would need at least one physical-campus license and one online institution license.)

  • The institution has only an online presence, with all classes and academic support provided online. Staff or students are scattered rather than being in nearby geographic locations or labeled "on-campus" vs. "off-campus." The institution may have administrative offices but does not offer facilities, such as libraries or sports complexes, to students.

  • As with all WCONLINE licenses, students are enrolled at and attending only one institution. The online nature of the institution goes beyond collaboration among different campuses, so, for example, a group of campuses with students sharing resources and working online is not an online institution.

ONLINE INSTITUTION PRICING

Since a physical-campus WCONLINE license for each location at a completely online institution would be impractical--since, for example, one staff member in one city might define a location at $715 per year--the online institution license pricing reflects the support needed to run a single WCONLINE site for multiple and potentially far-apart locations.

A subscription for an online institution costs $2175 per year and is offered as an annual subscription only. Like a physical-campus license, the cost includes all support, upgrades, new features, and staff and students associated with the online institution. The $2175 is paid up front each year.

An online center also pays for use, since synchronous and asynchronous appointments/meetings result in relatively high storage space and costs on our end. The $2175 annual payment includes 2500 appointments per year, so a center with 2500 appointments or fewer per year simply pays $2175 per year. After the first 2500 appointments, the center is billed in increments of $500 per 2500 appointments:

  • Subscription with 2500 or fewer appointments/year: $2175/year

  • Subscription with 2501 to 5000 appointments/year: $2175/year + $500/year = $2675/year

  • Subscription with 5001 to 7500 appointments/year: $2175/year + $1000/year = $3175/year

  • Subscription with 7501 to 10000 appointments/year: $2175/year + $1500/year = $3675/year

  • Subscription with 10001 to 12500 appointments/year: $2175/year + $2000/year = $4175/year

  • etc.

The additional amount for use is billed at the end of each year and must be paid within thirty days of the invoice date. Additionally, all other restrictions on WCONLINE usage--such as the use of a single subscription by multiple centers within a single institution--continue to apply to online licensing.

RIGHT TO AUDIT & REMEDY

Our staff members perform routine audits of all WCONLINE sites multiple times per year, both to make sure centers are handling our licensing appropriately and to determine whether a center appears to need help using features in WCONLINE. Audits of sites with online licenses will include numbers of appointments as well as deletion logs. While any center may delete blank schedules or staff and resources that were duplicated by mistake, or may delete a schedule by mistake and contact us for help, any apparent attempt to circumvent the online license pricing--such as deleting schedules with appointments or clients with appointments--will result in termination of the account. Termination does not remove your responsibility to pay for services used up to the date of termination.

Changes to this Supplemental Agreement

We reserve the right to revise this Agreement at any time. If we revise this agreement, we will notify you via email. You are responsible for and agree to be bound by changes to this Agreement at the time that you are notified of such changes. Changes to pricing will only take effect at the end of an annual subscription term and only with thirty days notice.
